Landlord and tenant reviewing a lease renewal document in a bright office

A good lease renewal workflow in Oman gives both landlord and tenant time to review information, ask questions and document the outcome. It is an operational system—not a substitute for current legal advice or the terms of the agreement.

Start with a reliable lease register

For every active tenancy, record the unit, parties, start date, end date, key terms and responsible team member. Add reminders far enough in advance for an orderly review. The correct legal or contractual timing depends on the agreement and current requirements, so verify it rather than relying on a generic online timeline.

Review the tenancy record

Before contacting the tenant, check that the lease details are accurate and review open maintenance items, payment records and unresolved correspondence. Correct internal errors first. A renewal conversation is much smoother when both parties are working from a complete record.

Decide the proposed next step

Document the proposal and who approved it. If terms may change, ensure they are reviewed appropriately before communicating them. Keep operational notes separate from the final document so draft discussions are not confused with agreed terms.

Communicate clearly

Use a message that identifies the property, the relevant lease and the action requested. Provide a reasonable channel for questions. Avoid sending different versions through several channels without a record of which one is current.

Track the response as a status: review pending, tenant response pending, documentation in progress, renewed or ending. Assign an owner and next action to every exception.

Complete and archive the outcome

Once the parties complete the required process, store the final documentation with the tenancy record. Update dates, payment obligations and reminders. If the tenancy will end, trigger a separate move-out and handover checklist rather than treating “not renewed” as the final task.

Improve the process each cycle

Review renewals that became urgent. Was the date missing, the reminder too late, responsibility unclear or communication untracked? Fix the system, not only the individual case.
